Privacy Policy

1. Data Collection

We only collect the personal data necessary to provide our membership services: email address, name, phone number, and location context for regional events. We do not use intrusive tracking cookies on our primary marketing site without explicit consent.

Membership applications — research from public sources. When you apply for membership, we may enrich your application with information from public sources only — public web search results and the Romanian public company registry (ANAF) — solely to evaluate your application and personalize our reply. The legal basis is our legitimate interest in assessing the applications we receive (Art. 6(1)(f) GDPR). We store at most a short summary with links to the sources. Automated screening assists our review, but no application is ever rejected automatically — a person reviews every decision. You may object to this enrichment at any time by writing to us, and the enrichment data is deleted together with your application.

Partner (sponsorship) applications. If you apply to sponsor The Vault Podcast through our partner application form, we collect the brand name, website, your name and professional role, business email and (optionally) phone number, together with the commercial details you choose to give us: the inventory you are interested in, your budget range and the offer you write yourself. This data is processed on the basis of your consent and of steps taken at your request prior to entering into a contract. We use it solely to evaluate and respond to your application — never for membership marketing, and it is never merged with our member or applicant databases. An automated relevance score assists our review; it never decides on its own, and a person reads every application. Applications that do not lead to a contract are deleted within 24 months. Write to us at any time to have yours deleted sooner.

2. Financial Information

We do not store your credit card information. All transactions are processed securely by Stripe, a PCI-compliant third-party payment processor. We only receive confirmation of your active subscription status and billing email.

3. How We Use Your Data

• To send you the private Telegram/WhatsApp group invite links.
• To communicate regarding upcoming private dinners, events, and exclusive deal-flow.
• To manage your membership access and account status.

4. Data Sharing

We do not sell, rent, or share your personal data with third parties, except as required by law or to provide our services (e.g. Stripe for payment processing).

5. Data Retention

Your personal data is retained only for as long as you are an active member. Upon cancellation, your data will be deleted within 30 days, unless retention is required by law (e.g. financial records).

6. Your Rights (GDPR)

If you are a European Union resident, you have the right to:

• Access — request a copy of your personal data
• Rectification — correct inaccurate data
• Erasure — request deletion of your data ("right to be forgotten")
• Portability — receive your data in a machine-readable format
• Objection — object to processing of your data

7. Cookies

Our vault-door experience uses only essential, functional cookies (no advertising or tracking cookies). No third-party analytics are loaded without your consent.
